Exhibitor Rules & Regulations
Mandatory Booth Hours:
Exhibitors are encouraged to participate in educational sessions and activities. However, exhibitors are required to manage their booth at these times:
Wednesday, Jan 28 & Thursday, Jan 29
7:45 a.m.- 10:00 a.m.
11:30 a.m. - 1:30 p.m.
4:30 p.m. - 6:00 p.m.
If an exhibitor is unable to have a person at the booth during the required times the organization is asked to discuss with the conference organizers in advance. Exhibitors could be subject to denial to future opportunities if these requirements are not met.
Off-Site Conference Activities
EXHIBITORS AND SPONSORS ARE PROHIBITED FROM HOSTING OFF-SITE EVENTS DURING CONFERENCE ACTIVITY HOURS. Any off-site events must occur AFTER conference activities close for the day.
Exhibitors and sponsors are asked to collaborate with conference organizers for assistance with any additional activities during the conference. Exhibitors and sponsors hosting off-site events DURING conference hours will be prohibited from participation as an exhibitor or sponsor the following year.

Music, Videos, & Demonstrations at Booth
Exhibitors are encouraged to engage with attendees and highlight their products. They are asked to be mindful of other exhibitors and attendees around them and avoid loud music or audio that disrupts others.
BOS Center Guidelines
The Bank of Springfield Center has additional Exhibition Guidelines for everyone to follow. This includes unloading, parking, and other services the hotel can provide. Please make sure to read these guidelines before arrival at the conference and while preparing your booth.
General Information
Cancellation Policy
Notice of cancellation must be made by the exhibitor prior to December 3, 2025. All cancellations received by this date will receive a full refund minus a $50 processing fee per booth. Space cancelled after this date will not be refunded.
Electrical Fees
For the 2026 Conference, electrical needs will be requested directly through the BOS Center. To request electricity, complete the form below or contact the BOS Center at (217)788-8800 or email them.
Shipping Information
We recommend bringing all of your items with you on set-up day. But, if you must ship items please have them delivered by Monday, Jan. 26 or Tuesday, Jan 27. The delivery hours need to be between 8:00 a.m.- 4:00 p.m.
Shipments should be marked with “Everything Local—Jan 28-30. ATTN Booth #, Organization Name”

Conference Loading Information
Parking for Active Loading/Unloading is along Washington Street and Adams Street at the meters covered with “no parking” bags under the following conditions:
Active loading/unloading is defined as transporting bulky or heavy commodities from vehicles, to/from the inside of the BOS Center.
Setting up or packing up exhibits while loading or unloading is not permitted.
Round-trip to/from the vehicle should take no more than 3 to 5 minutes. Over that time, active loading/unloading is no longer occurring, and vehicles may be subject to a ticket from the City of Springfield.
Additional parking for Active Loading/Unloading is located at the concerted areas in front of the corner doors at the back of the building only, under the following conditions:
Vehicles are not allowed to pull inside the BOS Center.
Vehicles are not to block sidewalks, crosswalks, or be within 30 feet of a traffic signal.
Vehicles cannot block the fire lane—offenders will be towed.
Hotel Accommodations
Lodging is available at the President Abraham Lincoln Springfield—DoubleTree for $127 per night plus tax. Lodging must be made by Monday, January 12, 2026, to guarantee the $127 room rate.
Exhibitor FAQs

The exhibit hall will be available for set-up from 12:00 p.m.- 7:00 p.m. on Tuesday, January 27 or 6:00 a.m.- 9:00 a.m. on Wednesday January 28.
All booths must be set-up by 9:00 a.m. on Wednesday, January 29. -
Exhibitors cannot begin tear-down before 6:00 p.m. Thursday, January 29. Tear-down before this time is strictly prohibited.
Tear-down will also be available starting at 6:00 a.m. Friday, January 30. All exhibitors must complete tear-down no later than 2:00 p.m. that day. -
The exhibit hall is open from 8:00 a.m. - 6:00 p.m. on Wednesday, January 28 and Thursday, January 29.
Exhibitors are encouraged to participate in educational sessions and activities. We do require exhibitors to manage their booths at the following times on both days:7:45 a.m.- 10:00 a.m.

Applications and paymens are due no later than December 3, 2025. Any registration after this date will not be listed in any printed conference materials

Booth assignments are not finalized until December 4, 2025. Exhibitor booth requests are taken into consideration at that time. Priority is given based on application submittal date.

The Passport Exhibitor Challenge encourages attendees to engage with as many exhibitors as possible using the new Exhibitor Passport. For every five exhibitors stamped in their passports, attendees will earn a raffle ticket for the live raffle drawing held on Thursday at 5:30 PM. It’s a fun and rewarding way to explore the exhibit hall, make new connections, and win great prizes
